How do I cancel a lesson?

From your Parent Dashboard, open Upcoming lessons and click Cancel next to the lesson. Full refund if you cancel 24+ hours before; later cancellations may be subject to fees. After cancelling, your refund will appear in 5-10 business days.

What if my coach does not show?

Contact support@grindwell.ai immediately and we will help you reschedule or process a full refund within 24 hours. We take no-shows seriously and follow up with coaches.

What if a parent does not show? (Coaches)

You will still receive payment for the booked lesson. If it happens repeatedly with the same parent, contact support@grindwell.ai and we will help resolve the issue.

When do I get paid? (Coaches)

Accepted Answer

Stripe typically transfers funds to your bank 2-7 days after the lesson. You can view payout history and details in your Earnings page via the Stripe Express dashboard link.

How do session notes work?

After a lesson, the coach adds quick notes (bullets are fine). Our AI structures them and generates a parent-friendly summary. The coach can edit and then publish; you will see the summary on your dashboard and in the session summary page.

What is the platform fee?

Coaches pay 8% per lesson booked. This includes payments, scheduling, and session notes. There is no monthly fee. Parents pay the lesson price shown on the coach profile.

How do I add my child (athlete)?

When booking a lesson, you can select an existing athlete or add a new one by entering first and last name. Athletes are stored under your account so you can reuse them for future bookings.

How do I set up payments as a coach?

Accepted Answer

After signing up, go to the Payments step in onboarding and click "Set up payments." This opens Stripe's secure setup — you'll need your bank account and routing number. It takes 10–15 minutes and is a one-time process. GrindWell never sees your bank details; Stripe handles everything. Once complete, parents can book and you receive automatic payouts within 2–7 days of each lesson.

Does the lesson calendar sync two ways?

No — it is a one-way iCal feed (subscribe). Your GrindWell lessons appear automatically in Google Calendar, Apple Calendar, or any calendar app, but cancellations and bookings still need to be done through GrindWell. Deleting an event from your calendar app does not cancel the booking.

Can my athlete log in to see their progress?

Yes. From your Parent Dashboard, go to your athlete's profile and send an invite by email. Your junior creates their own account and can view their Skill Radar, Practice Playbook, milestones, and session notes — but not any payment or contact information.

Is the AI required for session notes?

Accepted Answer

No. AI is always optional. Coaches can type notes directly, use the AI to structure and format them, or speak a voice note and have it transcribed. You review and edit everything before publishing. You are always in control of what parents see.

Can coaches offer lesson packages?

Accepted Answer

Yes. Coaches can create 4-pack or 8-pack lesson bundles with optional discounts. Parents pay upfront, and sessions are deducted as lessons are completed. Parents can see their remaining session count on their dashboard.

Can coaches offer discount or promo codes?

Accepted Answer

Yes. From the coach dashboard, go to Promo Codes to create a discount code. Share it on social media or with prospective clients. Parents enter the code at checkout and the discount is applied automatically.
